What we collect and why
When you contact us
If you use a form on this site, email us or call us, we collect what you give us: typically your name, work email, organisation, phone number and your message. We use it to reply to you and, where you have asked for something, to provide it. The legal basis is our legitimate interest in responding to enquiries, or the steps needed to enter a contract with you or your employer.
When you apply for a role
We collect your name, contact details, CV, right to work information, notice period and anything else you include. We use it to assess your application and to contact you about it. The legal basis is the steps needed before entering an employment or contractor agreement, and our legitimate interest in recruiting. See the recruitment notice below for retention.
When we work with your organisation
During an engagement we process the business contact details of the people we work with, and we may see personal data held in your ServiceNow instance while delivering the services. In the second case we act as a processor on your instructions under a data processing agreement, and the data stays in your instance.
When you visit this website
Our hosting provider records standard server logs, including IP address, browser, pages requested and time, used for security and to keep the site running. We do not run advertising trackers. If we add a privacy-respecting analytics tool we will say so in the cookie policy and it will not identify you personally.
Marketing
We may send occasional emails about our services to business contacts where we have a legitimate interest in doing so and you have not objected, or where you have agreed. Every such email has an unsubscribe link, and you can opt out at any time by emailing privacy@intelibliss.com.
Who we share it with
We do not sell personal data. We share it only with:
- Service providers who process it for us under contract, such as our hosting provider, email provider, workflow automation tool that routes form submissions, and document storage. Each is bound by confidentiality and data processing terms.
- Professional advisers, where needed for legal, accounting or insurance purposes.
- Authorities, where the law requires it.
- A buyer or successor, if we sell or restructure the business, under the same protections.
A current list of sub-processors is available on request.
International transfers
We are based in the UK with a delivery centre in India and staff in the United States. Where personal data leaves the UK or the European Economic Area, we rely on the UK International Data Transfer Agreement or the EU Standard Contractual Clauses, together with our ISO 27001 security controls. Our Indian team works through secured access to customer systems rather than copies of data.
How long we keep it
- Enquiries and business contacts: for as long as we are in contact, and up to three years after the last contact.
- Recruitment: unsuccessful applications for six months after the decision, then deleted unless you ask us to keep your details for future roles, in which case twelve months.
- Customer and contract records: for the life of the contract and seven years after, to meet legal and accounting obligations.
- Server logs: 90 days.
How we protect it
Our information security management system is certified to ISO 27001:2022. Access to personal data is restricted to the people who need it, protected by multi-factor authentication, and reviewed regularly. Our security and trust page describes the controls in more detail.
Your rights
Under UK GDPR and EU GDPR you can ask us to:
- Tell you what personal data we hold about you and give you a copy.
- Correct data that is wrong or incomplete.
- Delete your data, where we have no continuing reason to keep it.
- Restrict or object to our processing, including for marketing.
- Provide your data in a portable format, where processing is based on consent or contract.
- Withdraw consent at any time, where consent is the basis.
Email privacy@intelibliss.com. We reply within one month and do not charge for a first request. We may ask you to confirm your identity. If you are unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk, or to the supervisory authority in your EU country.
Recruitment privacy notice
When you apply for a role we process the data in your application to assess your suitability, arrange interviews and make a decision. We may ask for references and, for some roles, run background checks with your knowledge. We do not use automated decision-making in recruitment. Your application is seen by the hiring manager, the practice lead and the people involved in interviewing you. If you are successful, your application becomes part of your employment or contractor record. If you are not, we keep it for six months in case of a query and then delete it, unless you ask us to keep it for future roles.

This site uses only strictly necessary storage: a setting that remembers your light or dark theme preference. Details are in the cookie policy.
Changes
We update this policy when our practices change. The date at the top shows the last revision.
